1. Agreement
By submitting the interview sign-up form and confirming the one-time email code, you confirm that:
- You are at least 18 years old.
- The information you provide is accurate to the best of your knowledge, and you answer in your own name (not as an anonymous spokesperson for an institution).
- You have read this notice and agree to the processing and publishing terms below.
- You also accept our site-wide Privacy Policy and Terms of Service, which apply to your use of https://exhibo.art.
If you do not agree, do not start or continue an interview. You may leave a draft unfinished; we will not publish it without a completed submission and editorial review.
2. Who we are
The controller for personal data in interview submissions is BARS AI LTD, a company registered in England and Wales (Company No. 16732165), trading as Exhibo.
3. What we collect
When you take part we may process:
- Identity and contact details: first name, last name, email, role, country, city, gallery or institution name, website.
- Consent timestamp and questionnaire version.
- Written answers, structured fields (for example other institutions, recommendations, quick-fire lines), and flags such as “background only” or non-profit.
- Portrait image and optional archive files (images, PDFs, audio voice notes you recorded yourself), with photo credit / copyright lines where required.
- Gallery or museum match you confirm, claim “not now” counts, and any colleague contact you leave for us to reach out.
- Technical records needed to run the flow: one-time codes, session tokens, timestamps, and reminder emails for unfinished drafts.
We do not ask you to record audio inside the Exhibo product. If you prefer to speak, you record a voice note yourself and attach it, or send it to the editors later.
4. How we use your submission
We use your submission to:
- Authenticate you by email and let you save and resume a draft.
- Match or create a link to a gallery or institution page on Exhibo, where relevant.
- Edit your answers into an Interview article (or related editorial formats) for publication on Exhibo.
- Promote the published interview on Exhibo and in our editorial channels (for example newsletter, social syndication, or gallery-page placement).
- Contact you by email about your draft, edits, publication, or a gallery claim.
- Invite people you recommend, where you have given us a contact and it is appropriate to do so.
- Keep internal editorial records and improve the interview programme.
We do not sell your contact details. We do not use background-only answers as published quotations (see section 6).
5. Legal bases
Under UK GDPR we rely on:
- Consent — for collecting and processing interview answers and files you submit for possible publication, and for reminder emails about unfinished drafts where consent is the appropriate basis.
- Contract / steps prior to contract — where needed to provide the interview service you request (account-less draft access, submission, editorial follow-up).
- Legitimate interests — operating and securing the platform, preventing abuse, matching listings, and publishing editorial journalism about the art world, balanced against your rights.
You may withdraw consent for unpublished material by emailing privacy@exhibo.art. Withdrawal does not affect processing already lawfully completed. Once an interview is published, further changes follow section 7 and our Privacy Policy.
6. Background-only answers
You may mark a long answer as background only. Editors may read that answer and use it as private context when shaping the piece. We will not publish it as a quote attributed to you, and we will not paste it into the public article body as your words.
Background-only material may still influence structure, fact-checking questions, or what editors ask you next by email. If you need something excluded from editorial use altogether, say so in writing before publication.
7. Editing and publication
After you send your interview to the editors, Exhibo may create an internal draft article from your answers. Editors may edit for clarity, length, structure, and house style; fact-check; and follow up with you by email. Headline style typically follows: name, role, gallery or institution, and theme.
Before publication
An editor reviews the gallery or institution match (or sets one if none was found). Publication is at Exhibo's editorial discretion. We may decline a submission, ask for changes, or hold it.
After publication
Published interviews remain part of Exhibo's editorial archive. For corrections, updates, or a take-down request, contact privacy@exhibo.art. We will consider requests fairly; we are not obliged to remove published journalism in every case, especially where a public interest or archive integrity applies.
8. Photos, audio and copyright
Every image you upload must include a photo credit or copyright line. You confirm that you have the right to upload each file (including portraits, installation shots, works, invitations, and press clippings) and to grant Exhibo the licence in section 7, or that you have permission from the rightsholder.
Do not upload material that infringes someone else's copyright, privacy, or publicity rights. If we receive a valid complaint, we may remove or replace files and related article imagery.
Optional audio must be a recording you made yourself (or that you are authorised to share). We do not provide in-browser recording.
9. Gallery listings and claims
The interview may suggest a match to an existing Exhibo gallery or museum page, or let you add a short listing. Claiming a page uses Exhibo's separate claim process and proof checks. Soft prompts to claim are optional; declining them does not block you from sending the interview.
Adding or claiming a listing through this flow does not create a paid subscription by itself. Paid products (if any) remain governed by our Terms and pricing pages.
10. Recommendations of other people
If you suggest someone under “Who should we talk to next”, we store that lead for editorial invitations. Only share an email or private contact if you are sure the person would be comfortable hearing from us.
The box “You can say I recommended them” is on by default. Uncheck it if you do not want us to mention you when we write to them.
You are responsible for not submitting other people's personal data unlawfully. We may decline to contact a lead if the details look unsafe or incomplete.
11. Retention and drafts
Drafts are not deleted automatically. We keep unfinished drafts so you can return with a new email code, and so editors can send reminders you can opt out of by contacting us.
Submitted and published material is kept for as long as needed for the editorial archive, legal claims, and the purposes in our Privacy Policy. You may ask us to delete unpublished personal data; we will say if an exemption applies.
12. Your rights
Depending on applicable law (including UK GDPR), you may have rights to access, rectify, erase, restrict, or object to certain processing, and to data portability. You may also lodge a complaint with the UK Information Commissioner's Office (ICO).
To exercise rights for interview data, email privacy@exhibo.art with enough detail for us to find your submission (name and email used on the form help).
13. Other policies
This notice sits alongside:
- Privacy Policy — how Exhibo processes personal data across the platform.
- Terms of Service — accounts, acceptable use, intellectual property, and liability.
- Cookie Policy — cookies and similar technologies on the site.
If something in this notice conflicts with the Privacy Policy on a data-protection point, the more specific interview rule applies to interview submissions; otherwise the Privacy Policy and Terms control.
